Job Summary
Provides overall administrative and support services for the executive staff and international dispatch employees, including administering personnel policies and acting on behalf of international dispatches
on personnel issues.
Essential Duties & Responsibilities
1. Provides administrative support for the local staff (US and Koito)
2. Creates and maintains files, correspondence, reports, spreadsheets, databases, and presentations for the
local staff and for special projects
3. Translates documents, meeting minutes, and dictation between Japanese and English, as required
4. Provides translation for Management
5. Attends meetings to translate the discussions, clarify any cultural nuances, and ensure that the
understanding of the issues is clear to all participants, if needed
6. Coordinates and carries out professional duties to assist the Management and dispatch group with
customer relations activities, as required
7. Reviews, corrects, and approves Kronos time entries for the Koito dispatch employees
8. Translates processes, procedures, policies, and employees handbook into Japanese, as required
9. Conducts thorough employee orientation to dispatch employees, explaining the following:
a. NAL policies, procedures, and company culture
b. US employment laws, practices, and culture — including harassment, privacy, Fair Labor Standards
Act, National Labor Relations Act, Employment Discrimination, OSHA, and EPA
c. Relevant US civil laws, such as traffic laws
10. Performs other duties as assigned
Responsibilites
Requirements
1. Meets one of the following Education and Experience requirements:
a. Bachelor’s Degree in a Business, International Relations, or a related discipline, plus 2 to 4 years of
experience in international business and/or international administrative functions; OR
b. Associate’s Degree in a Business, International Relations, or a related discipline, plus 4 to 6 years
of experience in international business and/or international administrative functions; OR
c. High School Diploma or GED, plus 6 to 8 years of experience in international business and/or
international administrative functions
(Experience in a Corporate Office environment and/or experience with a Japanese-owned
corporation in the US is preferred)
2. Strong knowledge, skills, and abilities in the following areas:
a. Basic knowledge and understanding of US business culture and hierarchy, US employment laws,
and common US employment policies and practices
b. Analytical and problem solving skills (with attention to details)
c. Organizational, Planning, and Follow-Up skills
d. Ability to maintain confidentiality on business-sensitive issues and personal employee information
e. Computer skills — proficiency using standard business software (including MS Office)
f. Written and verbal communications and presentation skills
g. Translation skills — both written and verbal translation of English and Japanese, including
simultaneous verbal translation skills in Japanese and English
h. Interpersonal skills — ability to confidently interact with individuals at all levels of authority and
maintain composure in stressful and/or sensitive situations
